This website (coolbikes.com.au) is operated by Fama Transportation Pty Ltd (ABN 91 647 606 531), trading as Cool Bikes Australia (“we”, “us”, “our”). We respect your privacy and handle your personal information in line with the Australian Privacy Principles (APPs) as our standard for good privacy practice. This policy explains what we collect, why, who we share it with, and how to contact us.

1. Information we collect

Information you provide. When you make an e-bike rental booking through our online booking form, contact us, or buy parts and accessories, we may collect your name, email address, phone number and WhatsApp number, suburb or delivery area, booking date and time, whether you want pickup or delivery, your chosen rental plan, your referral source, and a yes/no eligibility question (whether you have an Australian bank account). For purchases, we also collect the order and delivery details needed to fulfil your order.

Information collected automatically. When you use the site, we and our providers collect technical information such as your IP address, device and browser type, pages viewed, referring URLs, marketing parameters (for example UTM tags), and actions you take (such as submitting a booking or clicking a contact link), using cookies and similar technologies.

We do not intentionally collect sensitive information, and you should not enter payment card or bank-account numbers into our booking form.

2. Why we use your information

To provide and manage e-bike rentals, sales and support; respond to your enquiries; process and deliver orders and payments; operate, secure and improve our website; and measure and improve our advertising.

3. Rental bookings (Jotform)

Our booking form is provided by Jotform. The information you enter is transmitted to and stored by Jotform on our behalf and provided to us so we can process your booking. See Jotform’s privacy policy at jotform.com/privacy.

4. Online shop and payments

Purchases are handled through WooCommerce. Payments are processed by WooPayments (the payments service built into WooCommerce, operated by Automattic). Your full card details are handled by the payment processor and are not stored by us. We receive the order and delivery details needed to fulfil your order.

5. Analytics and advertising measurement

  • Google Analytics 4 (via the Google tag; Google LLC) — to understand how visitors use our website and measure our marketing performance. It uses cookies and collects technical data such as your IP address, device and browser information, and cookie identifiers, which Google processes under its own policies (policies.google.com/privacy). You can opt out using Google’s browser add-on (tools.google.com/dlpage/gaoptout) and manage Google ad personalisation at adssettings.google.com.
  • Meta Pixel (Meta Platforms, Inc.) — to measure the performance of our advertising on Facebook and Instagram and to help us reach relevant audiences. It records activity such as pages viewed and two key actions: a completed rental booking (recorded as a “Lead”) and a click on our WhatsApp or phone contact links (recorded as a “Contact”). For these actions our own tracking code sends Meta only a generic label (for example “E-bike Booking” or the contact method) — it does not send Meta your name, email, phone/WhatsApp number, address or your booking-form answers. To provide this service, Meta’s systems process technical information such as your IP address, device/browser details, page information and cookie identifiers under its own policies (facebook.com/privacy/policy). You can manage your ad preferences in your Facebook and Instagram settings.

6. Cookies

We use cookies for website functionality, analytics and advertising measurement. You can control or delete cookies through your browser settings; blocking some cookies may affect how the site works.

7. Who we share your information with

We share personal information only with the service providers who help us operate — for example Jotform (booking form), WooCommerce and WooPayments (orders and payments), Google and Meta (analytics and advertising measurement), and our website hosting provider — and where required by law. We do not sell your personal information.

8. Overseas disclosure

Some of our providers are located, or process data, outside Australia — primarily in the United States (for example Jotform, Google, Meta and Automattic/WooPayments). Where we disclose personal information overseas, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.

9. How long we keep your information

We keep personal information only for as long as needed for the purposes above and to meet our legal, tax and accounting obligations, after which we delete or de-identify it.

10. Access, correction and complaints
